Malaysia: Admin and Logistics Assistant

Background: DAI, an international consulting firm based in the United States, is currently accepting applications from candidates for an Administration and Logistics Assistant position to support the U.S. Agency for International Development (USAID) Office of Transitions Initiatives (OTI)-funded program. The USAID/OTI program will work with civil society, the Government, and other stakeholders to foster more participatory and inclusive reform.

Responsibilities: The Administration and Logistics Assistant will support administrative and logistical tasks for the program. Specific Objectives and Duties:

Administration

Oversee administrative functions including translation, office management, administrative support, travel, and file maintenance. Ensure that project records are maintained in accordance with DAI’s records management procedures (Record Map Policy) and keep the project records map current.

Operational Policies, Procedures, and Reporting

Ensure that all operational functions follow contractual terms and conditions, DAI policies and procedures, USAID and other relevant U.S. Government regulations. Prepare and submit relevant operational reports in a timely manner such as the annual government property report. Develop and update operational policies, procedures and any relevant forms in support of the efficient operational management of the project.

Asset Management

Manage and be accountable for all project property acquired, leased, or otherwise obtained throughout the asset's lifecycle: from initial receipt through accountability and custody, until formally relieved of accountability by authorized means, including disposition, or through a completed evaluation and investigation for lost, damaged, destroyed, or stolen property. Establish and maintain accountable property systems of record; ensure their appropriate integration with TAMIS (DAI database), core financial and other systems and processes, particularly those for logistics and procurement. This includes the requirement for maintaining a complete trail of all transactions, suitable for audit, and the ability to implement and adhere to associated internal controls.

Qualifications:

  • University degree in relevant field required
  • Minimum of 4 years of progressively responsible experience in administrative and/or operational management required
  • Strong computer skills (MS Office suite) required.
  • Experience with grants or small grants under contract programs highly preferred.
  • Relevant experience working in media, civil society, or government in a related role preferred.
  • English language fluency required
  • Must be able to start work immediately.
  • Must be legally able to work in Malaysia.
